Who is responsible
BOE-AV is the trading identity of Brands of Europe, CVR 30290240, registered at Kløvermarken 17, 5492 Vissenbjerg, Denmark. Contact info@boe-av.com or +45 42 20 07 75 about your personal information.
Using this website
This website presents our services and project experience. It has no account registration, comments, online payment or website enquiry form. The website code does not use analytics, advertising trackers, cookies or browser preference storage. Images, fonts and website assets are served with the site.
Simply.com hosts the website and records technical traffic and security information, including IP addresses, requested URLs, date and time, response status, browser information and firewall events. This supports website operation, troubleshooting and protection against misuse. Simply.com has confirmed that webserver logs are currently retained for three weeks. The legal basis is our legitimate interest in maintaining an available and secure website, under GDPR Article 6(1)(f).
Email and telephone links open the application you choose. Clicking an email link does not itself send an enquiry through this website; you decide whether to send the message. Telephone calls are connected by your telephone service. The WhatsApp link opens WhatsApp's external service; you decide whether to send a message there.
Enquiries and project communication
When you contact us by email, telephone or WhatsApp, we handle the contact details, correspondence and project information you share. This may include your name, email address, telephone number, property details, drawings, requirements and notes of our discussions. Michael Ørtoft handles these enquiries.
We use the information to answer you, understand your requirements, prepare proposals and organise relevant follow-up. For steps you request before entering a contract with us, the legal basis is GDPR Article 6(1)(b). For business contacts and other correspondence, we rely on our legitimate interest in managing relevant professional communication, under Article 6(1)(f).
You choose what to share. We need sufficient contact and project information to answer a request or prepare a proposal. Please provide only information relevant to the conversation.
Services used to handle information
We use Simply Mail with the Apple Mail application for email. We also use ChatGPT Business, with model training turned off, and a private cloud-based assistant and Command Center to assist with correspondence, summaries and follow-up.
If you choose WhatsApp, we use WhatsApp Business to receive and respond to your messages. Our WhatsApp correspondence is backed up to Apple iCloud. WhatsApp and Apple process information to provide these services under their applicable terms and privacy notices.
The Command Center uses Cloudflare hosting, databases and AI processing. Relevant email content may be analysed, and contact metadata, correspondence summaries, draft replies and follow-up records may be stored. The services used depend on the communication and task; contacting us does not mean that every enquiry is sent to every service.
We do not currently record telephone conversations. Michael handles enquiries and reviews responses; these tools assist his work. We do not use them to make decisions about you solely by automated means that produce legal or similarly significant effects.
Service providers process information needed to provide these functions. Cloud services can involve processing outside the European Economic Area, including in the United States. The published business terms for OpenAI and Cloudflare describe transfer safeguards, including adequacy decisions and European standard contractual clauses, as applicable. You can contact us for information about the safeguards relevant to your enquiry and how to obtain a copy. We do not represent these services as keeping all information within the EEA.
How long we keep enquiries
Simply.com takes daily backups of hosted website and email data and states that these backups are normally retained for 30 days. Copies of deleted information may therefore remain in those backups during that cycle. This does not set the retention period for technical logs or copies held in other services.
Enquiries that do not result in a project may be retained for up to 24 months after the last relevant contact. We delete them earlier when continued retention is no longer necessary. During that period, our legitimate interest is relevant follow-up and proportionate documentation of the enquiry, under GDPR Article 6(1)(f).
The enquiry period applies to the correspondence and associated notes, summaries, drafts and follow-up records we retain for that enquiry. Internal processing or synchronisation does not restart the period. Active project records, accounting documentation and records needed for legal obligations or specific legal claims are handled separately, according to their purpose and applicable requirements. The enquiry period does not set the retention period for technical logs or provider backups.
Your rights
Depending on the processing and the applicable conditions, you can ask for access, correction or deletion of your personal information, restriction of processing, and a portable copy. You can object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing.
Contact info@boe-av.com to exercise your rights or request more information about recipients and international transfers. You may also complain to the Danish Data Protection Agency, Datatilsynet.
